Booked to signed: a field-visit workflow that doesn't leak
A walk through the full lifecycle of a well-run on-site visit — and the handoffs where most teams lose time.
The phrase we use for a healthy field operation is 'booked to signed': the stretch from the moment a visit is scheduled to the moment the customer signs off, with nothing lost in between. Here's what that lifecycle looks like when it's running well.
1. Booked
The visit is created — often automatically from a won deal in your CRM — and the customer picks an arrival window in an area you actually cover. Coverage is checked, the day stays realistic, and a confirmation is sent.
2. Briefed
Whoever is assigned gets a short, standardized briefing built from your notes, so they arrive knowing the goals and any concerns. Preparation stops depending on who you ask.
3. Confirmed
The field person confirms within a set window. If they don't, it escalates — to the office, then to us — so a missed confirmation surfaces early instead of at 9am.
4. Captured
On site, the visit is a guided, structured form: the same data and photos every time, with annotation in place and required fields that can't be skipped. Submitting locks the record.
5. Signed
The report is generated on your brand from the captured data and sent for signature — often completed on the spot. The signed copy is filed automatically.
6. Synced
Results and the signed document flow back to your system of record, so the next team picks up cleanly. No inbox archaeology, no re-keying.
Each of those handoffs is a place teams lose time. Closing all of them is the whole point of how Norwon works. Book a demo to see it on your own process.
